Terms of Service
Last updated: December 2025
Welcome to Deputy
These terms govern your use of Deputy, an AI-powered workflow automation platform operated by Codified London Ltd (company number 08440313), registered at 160 City Road, Kemp House, London, EC1V 2NX, England.
By using Deputy, you agree to these terms. If you're using Deputy on behalf of an organisation, you confirm you have authority to bind that organisation to these terms.
What Deputy Does
Deputy is a workflow automation tool that helps teams handle emails and Slack messages. It:
- Connects to your data sources (databases, uploaded documents)
- Uses AI to draft responses to incoming messages
- Queues drafts for your review before sending
- Sends approved responses via email or Slack
Your Account
To use Deputy, you'll need to create an account with a valid email address. You're responsible for:
- Keeping your login credentials secure
- All activity that happens under your account
- Letting us know immediately if you suspect unauthorised access
What You Can Do
You may use Deputy for legitimate business purposes. Please don't:
- Use it for anything illegal or harmful
- Upload content you don't have rights to
- Try to break, reverse-engineer, or exploit the service
- Resell or provide access to Deputy to third parties
- Use automated tools to scrape or access the service
Your Content
You own everything you upload to Deputy—documents, database connections, workflow instructions. By using the service, you give us permission to process this content solely to provide the service to you.
You're responsible for ensuring you have the right to upload and process any content, especially if it contains sensitive business or personal information.
Third-Party Services
Deputy uses several third-party services to operate:
- Anthropic (Claude) — AI-powered analysis and response generation
- Slack — Message integration (when you connect a Slack workspace)
- Google — Google Sheets and Docs integration (when connected)
- Resend — Email delivery
- Cloudflare — File storage and content delivery
Your use of Deputy is also subject to these providers' terms. Documents and messages you process may be transmitted to these services as needed to provide the functionality you've requested.
AI-Generated Content
Deputy uses AI to draft responses. Please understand that:
- AI can make mistakes—it may misunderstand context or produce inaccurate information
- You should always review AI-generated drafts before approving them
- Deputy is a tool to help you respond faster, not a replacement for human judgement
- We don't guarantee the accuracy, completeness, or appropriateness of AI outputs
Deputy does not provide legal, financial, medical, or other professional advice. The AI drafts are starting points—you're responsible for the final content you send.
Service Availability
We aim to keep Deputy running smoothly, but we can't guarantee 100% uptime. We may need to pause the service occasionally for maintenance or updates. We'll try to give you notice when we can.
Limitation of Liability
To the extent permitted by law:
- Deputy is provided "as is" without warranties of any kind
- We're not liable for indirect, incidental, or consequential damages
- We're not liable for any actions you take based on AI-generated content
- Our total liability is limited to the fees you've paid us in the past 12 months, or £100, whichever is greater
Nothing in these terms limits our liability for death, personal injury caused by negligence, fraud, or anything else that can't be excluded by law.
Ending Your Account
You can close your account at any time by contacting us. We may suspend or terminate your access if you breach these terms or if we need to comply with legal requirements.
When your account ends, we'll delete your data in accordance with our Privacy Policy, except where we're required to keep it by law.
Changes to These Terms
We may update these terms from time to time. We'll notify you of significant changes via email or through the platform. Continuing to use Deputy after changes means you accept the new terms.
Governing Law
These terms are governed by the laws of England and Wales. Any disputes will be resolved in the courts of England and Wales.
